Tip: If this is your first time importing to the App Dashboard from Aspen/MyEducationBC, please read through this page before beginning.
In Aspen/MyEducationBC, you can export the Class List. You should be able to set up the export settings once and then use the same settings each year.
You must import staff first, so that when classes are imported the teachers can be granted permissions automatically. Please do not email the files; instead, please upload them to the Dashboard using your desktop browser, as described below: App Dashboard Import.
Note: this process may be automated in collaboration with your school district: School District Staff List Synchronization .
If you have a saved Appazur Classes Field Set from a previous year, you can continue with the CSV Export steps in the next section.
Otherwise, you’ll need to create an Appazur Classes Field Set with the required fields. Save the new Field Set with a name like Appazur Classes for use again next year.
You may be able to use Default Field Set with Platoon as a starting point.
Choose the following fields:
Note: The quoted text in parentheses is how the column headings will appear in the CSV export automatically. Do not rename any column headings.

Alternatively, you can provide UsualFirst/UsualLast instead, as long as those fields are not blank for any staff.

Click Save to save this customized Field Set.
Now, continue with the CSV Export steps below.
If you open the file in Excel to make changes, or because your computer opens Excel automatically, you will need an extra step. If you have a recent version of Excel, save in CSV (UTF-8) format. Otherwise, on the Dry Run screen of the Dashboard, pick Excel in the Encoding box. This will resolve errors with French accents and other special characters.

After a short delay, you should see a page that lists the results of your import.
Scroll through, looking for ERRORs and WARNINGs. See:
Finally, go to Classes/Groups in the App Dashboard and check that the data is listed correctly.
Note: class names may be abbreviated. See: Class Name Abbreviation.
When you do a dry-run, you’ll see a report listing ERRORs, WARNINGs, and INFO about the data in certain rows of your file. The row number will be indicated. Fix the ERRORs and review the WARNINGs before clicking the Import button.
If one or more lines have an ERROR, you cannot import the file. Here’s how to resolve the most common errors.
1. ERROR: 'utf8' codec can't decode ...
Did you save the file from Excel? If so, you need to pick Excel from the Encoding options (below the Import button).
2. ERROR: The file format is not supported (UTF-16).
Did you export a “TXT” file? Export a CSV file.
3. ERROR: This name is not unique for the current year.
The name that we’ll use for the class (e.g. course name + block/section/day + teacher name) is not unique. This could be because:
If you cannot resolve this, you can ignore this issue by checking Skip Classes With Duplicate Names.
4. ERROR: No classes found in file
Your CSV file probably does not have all the required column headings. Maybe you missed a field when you defined the export?
You should read each WARNING, and decide if it sounds like a problem or not. Here’s how to resolve the most common warnings.
1. WARNING: ### existing classes will not be removed.
Maybe you are re-doing the import? If so, you should remove any unneeded classes manually. Do not import multiple times if you do not have a course code for each class in the CSV file.
2. WARNING: Unable to parse Schedule
You need to choose the appropriate choice for Day/Block Column(s) so we can interpret the Schedule field correctly. The default assumes numerical blocks. Do you use letters for blocks?
New! We’ll now remember your choice for next time.
You can ignore this for blocks/periods outside of the regular schedule (e.g. 9, 10).
If your warning is like Unable to parse Schedule: "1(5) 2(7) 3(Day 1) 4(Day 3)"

your CSV file has the Rotated Schedule. We require the Unrotated Schedule field instead.
3. WARNING: Admins: Not ACTIVE account ...
The class teacher’s email address refers to a deactivated account. Have you imported your staff yet?
4. WARNING: Does not match a Staff account: ...
We don’t recognize the class teacher’s email address. Have you imported your staff yet?
5. WARNING: This email link matches a staff user at ...
Have you imported your staff yet?
6. WARNING: Note that this email does not match a staff account
The teacher email address matches a parent user account (no Dashboard access).
7. WARNING: Missing instructor name.
You should include the UsualFirst and UsualLast fields in the exported file.
8. WARNING: Semester not specified.
You should include the Term or Code field in the exported file.
Lines that start with INFO provide helpful information about what will be imported.
1. INFO: Already Exists: WOODWORK 8
If you have term classes (i.e. less than one semester long), e.g. for grade 8 students, sections with the same schedule and teacher will be listed as a single class in the app.
2. INFO: No data has been imported.
This is shown if there was an ERROR.
